### Who Should Register

You only need to create an account on eStela if you are going to set up the tracking system for a regatta.

#### Do not register if:

* You’re participating in a race as a sailor (you’ll receive a key from the organizer)
* You’re part of an organization that already has an account
* You just want to view live or past tracking sessions

### How to Register

Account setup is fully online and free. You can register using:

* Your email and a password
* Google single sign-on

Once registered, you can access the organizer dashboard and start creating tracking sessions.

#### Login Options

To log in, use the same method you used during registration — email/password or Google.\
If you’ve forgotten your password, use the reset option on the login page.

### Changing Your Email

If you need to update the email linked to your account, please contact support. We’ll make the change for you.


# Understanding eStela Plans and Pricing

### Free Tier and Getting Started

Creating an eStela account is free. By default, every new account starts on the free tier, which includes limited functionalities—enough to test how the system works before committing to a paid plan.

### What Do Paid Plans Include?

Paid plans increase two main limits:

* Tracking sessions per month
* Maximum number of boats tracked per session

A tracking session includes one course and one starting time. You can think of a session as a single race, leg, or course within a regatta.

### Billing and Subscription

* Plans are billed monthly. Limits reset every month.
* You can cancel, upgrade, or downgrade at any time. There’s no minimum monthly commitment.
* The billing cycle starts the day of the payment, not the 1st of the month.
* Payment can be made online by credit/debit card or bank transfer.

### Yearly Option and Discounts

We offer a 17% discount if you choose to pay for a full year in advance. Limits still reset monthly in this case.

If you’re planning to use eStela for more than 6 months and none of the available plans fit your needs, feel free to contact us to discuss a custom plan.


# Free Trial Information

All new accounts on eStela start on the Free tier, which allows you to test the system before choosing a paid plan.

### What’s Included in the Free Tier?

* Up to 3 tracking sessions per month
* Up to 5 boats tracked per session
* No time limit — the Free tier doesn’t expire

This is a good way to try out the platform, configure a few test races, and see how tracking works in practice.

### Downgrading to Free

If you cancel an active subscription, your account will automatically return to the Free tier. You won’t lose your race history, but the free limits will apply from that point forward.

# Mobile App Download and Installation

### Who Needs the Mobile App?

The eStela Mobile App is required for:

* Sailors who want to track their boat during a regatta
* Committees and race organizers who need to set up and manage tracking sessions from the water or on shore
* Spectators do not need the app — they can follow live sessions or replays directly from any browser.

### Where to Download

The app is available for free on:

* Apple App Store
* Google Play Store

Search for “eStela” on your phone or tablet, or ask your tracking administrator to send you a direct installation link.

### App Setup

To use the app, you’ll need to enter the access key provided by your tracking administrator. Each boat gets a unique key, which links the device to that specific entry in the session.

### How to Start Tracking

1. Open the app and enter the access key
2. Just before the starting signal, tap “Activate tracking”
3. Make sure the phone:\
   • Stays connected to power\
   • Is placed stationary on the boat — not in your pocket

### Extra Features

* To switch or add another boat, tap “Change boat”
* To report a bug, tap “Report an error” from the app menu


# Setting up a Race Course

While setting up a race course is not required for a tracking session to run, it’s an essential step if you want to enable features like:

* Real-time classification
* Start time animations
* Post-race analysis and insights

### Creating a Course

If you already know the exact location of the marks for your regatta, use the web course editor under the `Configure > Course` menu to define your course.

If you don’t have precise mark positions in advance, we recommend:

1. Creating an approximate course using the web editor
2. Updating mark positions later using the Buoyer app

### Web Course Editor Overview

The course editor is a map-based tool that lets you place and configure race marks. There are three types of marks:

* Rounding marks
* Waypoints
* Doors

With these, you can design anything from a basic windward-leeward course to a complex coastal route. We suggest spending some time exploring the tool to understand all its features.

The editor supports entering coordinates in:

* Degrees Minutes Seconds (DMS)
* Degrees Decimal Minutes (DDM)
* Decimal Degrees (DD)

### Reusing Courses and Waypoints

* You can save commonly used setups as Frequent Courses, which makes it easy to reuse the same layout in multiple sessions.
* Use Frequent Waypoints to store named positions (e.g., common rounding marks) that speed up course creation.

# Adding and Managing Boats

To prepare for a tracking session, you’ll first need to register the boats that will be participating. This is done from the Fleet section of the eStela website.

### Registering Boats

To add a new boat:

1. Go to the `Fleet` section in your dashboard.
2. Click `+ New boat.`
3. Enter the boat name (this is required).
4. Optionally, you can add:\
   • Model (e.g., J/70, Laser)\
   • Sail number

Although the model and sail number aren’t visible to spectators, they help prevent duplicate entries and keep your fleet organized.

Once registered, each boat is assigned a unique access key. This key is what sailors use to log into the eStela Mobile App and begin tracking as that specific boat.

### Access Keys and App Setup

The access key links the sailor’s device to the correct boat during a race. If you’re managing a large event, you can download and print out individual instructions for each boat (more below), which include the access key and app download links.

### Managing Boats

From the Fleet view, you can:

* **Enable or disable boats**. Disabling a boat prevents its position data from appearing in the tracking session. This is useful if a boat is disqualified or not authorized to participate.
* **Group boats by class**. Use the Class field to organize boats into fleets (e.g., ILCA 6, ILCA 7, ORC). You can later filter tracking sessions by class.
* **Assign symbols and colors.** You can customize how each boat appears on the map by choosing:
  * A symbol (monohull, catamaran, trimaran, kite, etc.)
  * A color, to help distinguish between boats during the race

These visual settings affect how boats are displayed in real-time tracking and replays.

### Bulk Importing Boats

If you’re managing a large fleet, you don’t need to add boats one by one. Use the Bulk import feature:

1. Download the CSV template provided on the platform.
2. Fill in the boat data.
3. Reupload the completed CSV to register all boats at once.

This is especially helpful for multi-class regattas or championships with many entries.

### Printing Boat Instructions

For each registered boat, you can generate a Manual Guide containing:

* The boat’s name
* The unique access key
* A link to download the mobile app

To do this, click `Print instructions`. These guides are useful to hand out to sailors during check-in or registration.


# Using Mobile Access Keys

### What Is a Mobile Access Key?

A Mobile Access Key is required to log in to the eStela Mobile App. It links a specific mobile device to a boat in a tracking session.

Each boat registered in your fleet — including committee boats — is assigned its own unique Mobile Access Key.

## Who Can Create Access Keys?

Only tracking session administrators can generate Mobile Access Keys. These are created automatically when a boat is added to the fleet through the eStela web interface.

How Access Keys Work

* One key per boat: Each boat gets a single, unique key.
* Shared login: Multiple devices can log in using the same access key. All devices will be linked to the same boat.
* Single tracker: During a tracking session, only the first device to activate tracking will be considered as the boat’s active tracker. Others will be ignored for position data.

This setup allows teams to share the same login across multiple devices as backup, while ensuring that only one is contributing tracking data.

### Switching Boats in the App

If a user needs to track a different boat:

1. Open the mobile app
2. Tap `Change boat`
3. Enter the new Mobile Access Key for the desired boat

This allows quick transitions between boats without reinstalling or logging out manually.


# Starting and Stopping Tracking Sessions

Tracking sessions can be **started and stopped manually or scheduled** in advance. These controls are available from the session dashboard.

Boats will appear live on the map once the session is active and will stop being visible once it ends.

### Manual Control

To start or stop a session manually, use the:

* Start tracking button to begin
* Finish tracking button to stop

### Scheduling a Session

You can also schedule session start and stop times:

* Schedule Start
  * Set the `Race starting time`: the system will automatically begin tracking 15 minutes before this time.
  * Alternatively, use `Schedule start` to define an exact `Auto start tracking at time`.
* Schedule Stop
  * Set the `Lasting maximum` attribute to define when the session should automatically stop.

### What Happens When a Session Stops?

Once a tracking session has ended:

* The replay becomes available for public or internal review
* Race insights and data become accessible

NOTE: You cannot restart a session once it has been stopped. If tracking was ended prematurely, a new session must be created.

### Session Limitations

Keep the following in mind before starting a session:

* You must be within your plan’s monthly limit of active sessions. If you’ve reached the limit, you’ll need to wait for the next billing cycle or upgrade your plan.
* You cannot have overlapping sessions that share the same fleet. Only one tracking session can be active at a time for a specific group of boats.


# Termination Area

One common issue in tracking sessions is that boats continue transmitting their position after the race ends — including when they’re already back in the harbor or heading home. To prevent this, eStela offers the Termination Area feature.

### How It Works

If a boat enters the Termination Area:

* After crossing the start line, or
* 15 minutes after the scheduled race start time

…it will automatically be marked as “Finished.”

Any further positions sent from that boat will be ignored and won’t be recorded in the tracking session.

This ensures post-race movements don’t clutter the tracking data or confuse spectators reviewing replays.

### How to Set Up a Termination Area

1. Go to your Account Settings
2. Click on `Tracking termination area`
3. Select `Setup termination area`

This opens a map-based tool where you can:

* Draw a polygon defining your termination zone
* To finish the shape, click on the first point you added to close the loop
* Click `Save` to store the area

You can only have one termination area at a time. If you need to change it:

* Go back to the same menu
* Click `Update termination area`


# Real-Time Tracking and Visualization

eStela allows you to follow races live as they happen or watch a full replay once the tracking session has ended. Visualization is one of the most powerful features of the platform, giving both organizers and spectators a clear view of what’s happening on the water.

### Live View and Replay

* When a tracking session is active, positions update in real time.
* Once the session is stopped, the replay becomes permanently available. Replays remain accessible even if your account is later downgraded to the Free plan.

### Sharing the Tracking Session

Each tracking session has a unique URL for visualization. You can copy and share this link with:

* Participants
* Spectators
* Media teams

Most organizers share the link via social media, WhatsApp, or email before or during the race.

The visualization page works on all major browsers. If you encounter any issues viewing a session, please contact support.

### Visualization Features

While watching a session (live or replay), viewers can access:

* Real-time classification
* Laylines and wind overlays
* Start time countdown
* Boat distances

These tools provide clear insight into race dynamics and help keep spectators engaged.

### What Can Be Configured

As an organizer, you can customize several elements of the tracking session, including:

* Session name
* Course setup
* Wind data
* Starting and ending time
* Layline angle
* Three hull lengths zone
* Show/hide country flags

You can also:

* Delete a boat’s track if it was mistakenly included


# Post-Race Analysis

Once a tracking session has ended, eStela offers tools to help you analyze the race and review boat performance in detail. These tools are especially useful for debriefs, race committee reports, and team feedback.

### Time Table

Each tracking session includes a Time Table that shows all mark crossings by each boat in a structured table format.

You can:

* View times as:
  * Absolute time
  * Delta time (compared to the first boat)
  * Elapsed time (since start)
* Print the table or download it as a CSV for further analysis or archiving.

### Boat’s Performance and Leg Analysis

From the Time Table, you can access:

* Boat’s Performance – shows performance metrics per boat, grouped by leg
* Leg Analysis – compares all boats on the same leg

These views include data such as:

* Distance sailed
* Average VMG (Velocity Made Good)
* Efficiency ratio, calculated as: Average VMG / Average Speed

These metrics give a clear picture of how efficiently each boat sailed through different sections of the course.

### What’s Required for Analysis

To generate accurate post-race insights, make sure your session meets the following:

1. At least one boat tracked
2. A complete course configuration This is essential to detect buoy roundings. After the session, you can fine-tune buoy positions based on the recorded tracks.
3. A valid race start time
4. At least one wind data entry

Without these elements, timing and performance calculations may be incomplete or unavailable.


# Tracking Portal

The Tracking Portal is a user-facing webpage hosted by eStela that displays all tracking sessions associated with your account. It’s a simple and organized way to let participants and spectators access race replays and live tracking.

### Where to Access It

* Go to the `Tracking Sessions` section in your dashboard.
* Click `Tracking Portal`&#x20;

Each portal has a unique URL based on your account name, for example:\

This URL is generated automatically. If you’d like to change it, just contact us.

### Features and Navigation

* Sessions are grouped by year, making it easy to browse past events

### Customizing the Portal

You can personalize the look and feel of your portal to better match your website or club branding.\
Click on `Customize Portal` to:

* Adjust the header appearance
* Modify the footer content
* Change the layout distribution

# Broadcast Overlay

The Broadcast Overlay feature allows you to embed a live leaderboard into a TV or livestream production using a simple HTML browser source.

Each tracking session has its own unique overlay URL, which means you can run multiple overlays simultaneously for different races or events.

The overlay refreshes automatically every second to keep rankings and boat data up to date.

Broadcast overlays are configured at the account level. To access configuration:<br>

# Transmitting Location Data

The eStela Mobile App (available for Android and iOS) acts as the primary tracking device in the system. It’s the recommended method for boat tracking during races due to its convenience and reliability.

### Why Use the Mobile App?

Using the mobile app instead of external trackers has several advantages:

1. Every boat already has a phone with GPS and mobile data.
2. No need to deliver and collect devices for each race.
3. No deposits or equipment management required.
4. Mobile phones continuously improve — better GPS, lower data usage, and longer battery life.
5. eStela releases frequent updates, ensuring compatibility and access to new features.

### How to Transmit Location Data

1. Install the eStela Mobile App from the Apple App Store or Google Play.
2. Log in using your Mobile Access Key (provided by your tracking administrator).
3. Tap `Activate tracking` to start transmitting your location.
4. Select the duration of the tracking:\
   • 2 hours\
   • 4 hours\
   • 1 day\
   • Indefinite (requires manual stop or closing the app)

#### Important App Settings

To ensure accurate and uninterrupted tracking:

* Allow all necessary location permissions
* Disable battery optimization for the app
* Keep the phone connected to a power source during tracking if possible

If there’s a problem (e.g., no GPS, incorrect permissions, signal loss), the app will show a clear error message with instructions on how to fix it.

### What Happens With Your Location Data?

* If a tracking session is active, your location will be sent to eStela’s servers and your boat will appear on the live map.
* If no tracking session is active, your location data will be discarded automatically.

### Offline Mode and Connectivity Loss

If your phone loses internet connection, the app will store all location data locally. Once the connection is restored, it will automatically upload the stored data.

The app can store up to 7 days of tracking data in offline mode.


# Broadcasting Wind Data

The eStela Mobile App can connect to Bluetooth Low Energy (BLE) anemometers to transmit real-time wind data during a tracking session.

This functionality provides the system with accurate wind information, improving:&#x20;

* Visualization (e.g., laylines and wind overlays)&#x20;
* Real-time classification precision&#x20;
* Post-race performance analysis

### How It Works

When connected, the app transmits live wind readings that are automatically linked to the active tracking session.

Each wind data point includes:  Timestamp, Latitude and longitude, Wind speed, Wind direction

These records are stored by eStela and used for accurate race insights and playback.

### Connecting an Anemometer

To connect a BLE anemometer:&#x20;

1. Open the eStela Mobile App&#x20;
2. Start tracking your session&#x20;
3. Tap the Bluetooth icon on the screen&#x20;
4. Follow the connection steps displayed in the app

Once paired, the app will automatically begin transmitting wind data to eStela.

# Troubleshooting GPS Issues

During a tracking session, the eStela Mobile App may display warnings related to GPS or device behavior. These messages are designed to help you correct issues before they affect the tracking quality.

Below are the most common errors and what they mean:

### Common Error Messages

* **The settings do not allow eStela to access the location ‘Always’. Tracking will stop in a few seconds.**\
  Make sure location access is set to “Always allow” in your phone’s settings. If set to “Only while using,” tracking may stop when the screen is locked or the app goes to the background.
* **GPS signal is weak. Tracking will resume once a stronger signal is available.**\
  Your device may be inside a cabin or in a location with poor sky visibility. Move it to a more open area to regain signal.
* **Movement stopped. When the movement resumes for several seconds, the app will resume tracking your position.**\
  Tracking pauses when no movement is detected. This helps reduce noise when boats are stationary. Tracking will restart automatically once movement resumes.
* **Connection interrupted. Recorded positions will be sent automatically once the signal is restored.**\
  The app is storing your GPS data locally. Once the internet connection is available again, it will send all saved data to the server automatically.
* **Power Saving mode is active. This mode can limit certain background services, such as GPS or internet connection.**\
  Disable power-saving or battery optimization settings for the eStela app to ensure it works properly in the background.

### Best Practices for Reliable GPS Tracking

To minimize tracking interruptions:

* Place the mobile in a fixed, open area, like the chart table or near a window — avoid pockets or bags.
* Keep the phone charging throughout the race to avoid shutdowns or low power restrictions.
* Avoid moving the phone around. Combined movement from the sailor and the boat can interfere with GPS accuracy, especially when calculating heading and VMG.

# Adding and Editing Marks

You can edit the course of a tracking session at any time, whether the session is Scheduled, In progress or Finished

If the session has already started, classification and performance analytics will be automatically recalculated based on the new course layout.

### Who Can Edit Marks?

Editing marks is restricted to eStela system administrators. If you are not authorized, you won’t see the editing tools.

### Why Edit Marks?

There are several reasons you might want to update or adjust a course:

* To improve visualization and alignment of the map
* To recover missing buoy roundings, which affect real-time classification and post-race metrics

Having accurately placed marks is essential for reliable race data.

### How to Edit or Add Marks

You have two options depending on where you are and what device you’re using:

1. #### Website Course Editor (Desktop)

Accessible from the tracking session configuration page, the web-based editor allows you to:

* Drag and drop marks directly on a map
* Add, move, rename, or delete marks
* Save updates to the course instantly

This tool is best used on a desktop or laptop and provides the most precision for course setup and fine-tuning.

2. #### Course Anchoring App (Phone GPS)

Click `Use phone GPS` from the tracking session dashboard to open a lightweight mobile web app. This tool is designed for in-water use by race organizers on speedboats or RIBs.

With this app, you can:

* Navigate to existing marks or waypoints
* Update a mark’s location using your phone’s GPS
* Anchor new marks precisely based on real-time positioning

This method is ideal when setting up or adjusting the course out on the water.


# Creating and Saving Courses

Every tracking session in eStela is assigned a single course, made up of one or more:

* Buoys (rounding marks)
* Waypoints
* Doors

Courses define the structure of the race and are essential for features like real-time classification and performance analytics.

### Reusing Existing Courses

You don’t need to create a new course from scratch every time. eStela provides several options to reuse or adapt existing courses:

* `Clone course`: Duplicates the current course layout so you can make changes without affecting the original
* `Inverse course`: Automatically reverses the order of the marks to run the course in the opposite direction
* Load from another session: In the course editor, you can import a course from any previous tracking session

These tools help save time and ensure consistency across races that use similar layouts.

### Using Frequent Courses

For more flexible planning, use the Frequent Courses feature. These are standalone courses not tied to any specific tracking session.

They are especially useful when:

* You have multiple course options for a regatta
* The final course is chosen on the day of the race
* You want to avoid creating multiple tracking sessions in advance

With Frequent Courses, you can:

1. Create and save all possible course options ahead of time
2. When ready, assign the selected course to a single tracking session

This setup allows the committee to make last-minute decisions without having to reconfigure the session on race day.


# Rounding Directions and Waypoints

eStela uses three types of marks to define race courses:

* Rounding Buoys
* Waypoints
* Doors

Each type has a specific role in tracking, visualization, and race analytics.

### Rounding Buoys

Rounding buoys are physical marks that boats are required to round. eStela automatically detects whether a boat rounds the buoy correctly based on direction.

* The **system calculates the rounding direction automatically** based on the previous and next mark in the course.
* If the angle between the approach and departure is narrow, both directions are accepted.
* You cannot manually set the rounding direction.
* These marks are included in:
  * Time tables
  * Boat performance analytics

Use rounding buoys to define required rounding points in the race.

### Waypoints

Waypoints are virtual marks that boats are not expected to round. They are mainly used for visualization and distance calculation.

* Waypoints help shape the course for metrics like total distance
* Boats do not need to cross or round them
* They are not shown in time tables or performance metrics
* They cannot be selected during replay or live visualization

Waypoints are especially useful for coastal or offshore courses, where visualizing the intended route is helpful, even if some points aren’t actual rounding marks.

### Doors

Doors are imaginary lines created between two marks. A door is considered crossed when a boat sails through the line in the correct direction, which is also automatically calculated based on the course flow.

* Commonly used for:
  * Start lines
  * Finish lines
  * Mid-course gates (e.g. in windward-leeward layouts)

Like rounding buoys, door crossings contribute to timing and classification features.


# Using the eStela API

eStela provides a REST API to help you retrieve race data, manage your fleet (boats), and submit wind measurements from third-party apps.

# Common Issues and Solutions

1. ### Webpage Crashing

Issue: The visualization or dashboard page may crash or freeze after being open for a while.\
Solution: Refresh the browser page. If problem persist, please contact us indicating URL and how to reproduce the crash.

2. ### Boat Unable to Connect

Issue: A boat cannot connect or appear in the tracking session.\
Solution: Make sure the device has a stable internet connection and that tracking is activated. If the issue persists, please report it including the race name, boat name and time.

3. ### Tracking Not Stopping Automatically

Issue: A boat keeps transmitting data after the race ends.\
Solution: The Termination Area only takes effect once the boat has crossed the start line. Make sure the session has a configured start time to activate this feature.

4. ### Missing Data in Replays (Distance or Position)

Issue: Replays don’t show boat positions or distances between boats.\
Solution: For real-time classification and boat distance to work, the following must be set:

* A valid course
* A defined start time
* At least one wind data entry

5. ### Insights Not Working

Issue: The Insights section fails to load or shows incomplete data.\
Solution: Make sure all location data points are present. Gaps in recorded location or incorrect mark setups can break Insights. Review your course and mark configurations.

6. ### SMS Notification Failures

Issue: SMS messages are not delivered.\
Solution: We might have to allow your country prefix. Contact us with the phone number and message details.

7. ### App Compatibility on macOS

Issue: The mobile app doesn’t work on certain macOS versions.\
Solution: Ensure your system is running macOS 12.0 or later for full compatibility with the latest version of the eStela app.

8. ### Transferring an Account to a New Email

Issue: A user wants to move their account to a different email.\
Solution: Contact support with the current email and the new email. We’ll handle the transfer, and you may be asked to reset your password afterwards.

9. ### Problems Importing Boats

Issue: Some boats aren’t imported correctly or receive a new access code.\
Solution: Only boats that have participated in a tracking session will retain their original access key. Inactive boats may need to be manually imported—contact support for assistance.
